
Sustainability Policy
1. About this policy
1.1. This Sustainability Environmental Policy formalizes our commitment to supporting the principles of environmental sustainability and recognises that a sustainable environment is central to our lives and our work.
1.2. Swanair Travel and Safaris Limited is committed to managing its activities to promote environmental sustainability, conserve and enhance our natural resources, prevent environmental pollution, and bring about continual improvement in our environmental performance.
1.3. The aim of this Environmental Sustainability Policy is to integrate a philosophy of environmental sustainability into all the organization’s activities and to establish and promote sound environmental practice in our operations. We will achieve this by:
a. Informing staff and stakeholders of our commitment to the environment and sustainability.
b. Supporting the implementation of environmental actions within our organisation.
c. Monitoring the progress of those environmental actions.
d. Communicating the outcome of those environmental actions to relevant stakeholders.
2. Who is responsible for this policy?
2.1. This policy is owned by Swanair Travel and Safaris Limited. It was adopted on 23rd February 2024 and will be reviewed every year. Changes may be made at any time based on guidance or amended organisational priorities.
2.2. Line managers have day-to-day responsibility for this policy, and you should refer any questions about this policy to them in the first instance.
2.3. Suggestions for changes or additions to this policy are welcome and should be reported to management.
3. Who does this policy apply to?
3.1. This policy covers all employees, officers, directors, consultants, contractors, volunteers, sub-contractors, interns, casual workers, and agency workers.
3.2. This policy has been agreed upon / implemented following consultation with the stakeholders of the company.
3.3. This policy does not form part of any contract of employment or other contract to provide services, and we may amend it at any time.
4. Environmental Sustainability Statement.
4.1. The earth’s environment is under severe stress from uncontrolled human activity, threatening the survival of our society and the performance of Swanair Travel and Safaris’ mission.
4.1. Swanair Travel and Safaris respects our relationship with the natural environment and its ecosystems. We acknowledge the adverse impacts that human activity can impose and take actions to prevent degradation of those natural systems. We acknowledge the specific impacts of our business on the natural environment, and our responsibility as a good corporate citizen to ensure a natural environment that is sustainable.
4.2. Swanair Travel and Safaris commits to the following principles and practices:
a. Monitoring and managing our environmental performance and working towards targets set to reduce adverse impacts.
b. Complying with all relevant international, national, state and local environmental policy, practices, regulations and legislation, and industry-specific best practice.
c. Reducing the stress consumption of natural resources in daily operations, including waterbodies, forests, natural resources paper and energy.
d. Maximising the reduce, recycling-use, of resources.
e. Disposing of all waste appropriately, and minimising waste sent to non-recyclable disposal sites.
f. Committing to the principles of preventing pollution to the environment and continual improvement in our environmental management.
g. Minimising pollution by taking steps to limit carbon emissions resulting from vehicle and air travel.
h. Where possible, encouraging suppliers to meet the highest standards of environmental & biodiversity performance.
i. Communicating this policy to all employees, contractors, and other stakeholders, as well as making this policy available to the public.
j. Reporting on the company’s environmental performance in both internal and external communications, where relevant.
k. Reviewing this policy annually and measuring targets and performance as part of that review.
l. Participating in Key Sustainability Audits.
5. The natural environment and our assets.
5.1. Swanair Travel and Safaris commits to increasing opportunities for nature to thrive on the assets we own, lease or manage. This includes land, water, and air which we have a financial interest in, own, lease, or otherwise manage.
5.2. We are committed to biodiversity and will work to ensure our actions on the assets we own or manage do not have a detrimental impact on the natural environment and will support biodiversity.
5.3. We will achieve this by:
Collaborating With Stakeholders
Actively engage with employees, suppliers, and other key stakeholders to ensure that our environmental goals are met. We recognize that effective partnerships are essential for reducing environmental impacts and promoting sustainability. By working closely with our suppliers, we can ensure that sustainable practices are integrated into our operations and that the resources we procure meet our environmental standards.
Protection Of the Environment
a. Limit the impact of industrial activities on the environment, including possible impacts on air quality, water resources and soils.
b. Implement a systematic approach to define measurable environmental objectives, achieve them, and demonstrate that they have been achieved.
c. Implement an appropriate environment risk management system based on the Avoid Reduce-Compensate mitigation hierarchy to identify and control the environmental impact of activities, products or services.
d. Implement Traveler Responsibility Guidelines-Provide guidelines to travellers on reducing their environmental footprint during their trips, including waste management, energy conservation, and respecting local cultures and ecosystems. Also, encourage travellers to actively participate in sustainability initiatives, such as carbon offset programs and community-led conservation projects.
e. More generally, undertake the improvement needed for protecting the environment.
Promotion Of Circular Economy and Responsible Use of Natural Resources
a) Ensure that natural resources (water, soil, forests…) are used efficiently. • Continuously seek to minimize waste production. • Apply the “reduce, reuse, recycle, valorise” principles.
Protection of Biodiversity
a). Ensure that no production site possibly having detrimental impact on the environment is located in natural protected areas listed as categories I to IV by the International Union for Conservation of Nature, in wetlands designated under the Ramsar International Convention or in sites inscribed on the inventory of the World Heritage Natural Sites of UNESCO.
b). Continuously seek to minimize biodiversity impact of operations, products and services applying the Avoid-Reduce-Compensate mitigation hierarchy
c). Protecting and enhancing the quality and extent of the natural environment in the assets we own, lease or manage.
d). Supporting the conservation of trees, hedgerows, ponds, streams, coastal habitats, and other aspects of the natural environment.
e). Managing our assets and those adjacent, such as public rights of way, coastal areas, play areas, playing fields and verges, in a manner that protects and increases biodiversity.
f). Introducing environmental growth opportunities and activities wherever we can on our assets.
g). Banning the use of balloons, sky lanterns, inefficient outdoor heating, and other materials and activities which could have a detrimental impact on the natural environment.
h). Phasing out the use of chemicals and pesticides on the assets we own, lease or manage.
i). We encourage the efficient use of water, air and land on all assets we own, lease or manage.
j). We will ensure staff and key stakeholders like vendors of our buildings are aware of how to reduce the use of water, and reuse water wherever possible.
6. Embedding Sustainable in Procurement Process.
6.1. We aspire to reduce our carbon footprint throughout our supply chain. We commit to the principles of buying locally, seasonally, and making a concerted effort in all our procurement decisions to reduce the distance travelled between source and destination.
6.2. Supplier panel management
a. We believe that collaboration with our suppliers is key to achieving our sustainability goals. During the supplier qualification process, we will encourage suppliers to adopt principles of environmental sustainability, helping to align their practices with our environmental and social objectives. Suppliers will be asked to provide information on their sustainability policies and practices, including their efforts to reduce carbon emissions and waste.
b. Our Company shall adhere to a Suppliers qualification process that respects Climate, Human rights Environment and CSR.
c. During our supplier qualification process, suppliers will receive a Corporate Social Responsibility (CSR) questionnaire with questions in line with climate such as –
- Did your Company assess the carbon footprint of its activities?
- Did your Company answer to the Carbon Disclosure Project (CDP)7 on climate change?
d. Company shall monitor and record the emissions generated and seek to offset this as part of our carbon reduction plan.
e. We commit to timely procurement and encourage less environmentally damaging ways for Local &International procurement needs. When these decisions are made in a timely manner, overland or overseas shipping can be used instead of flights, which reduces the carbon footprint of the procurement spend compared to aviation.
f. We will meet the objectives of sustainable procurement by: - Sourcing materials and services locally and seasonally.
- Ensure catering and foodstuffs are sourced from organic, local, and/or fair-trade sources. This includes ensuring that food products are produced in ways that minimize environmental impacts, support local farmers, and ensure fair working conditions.
- Ensure timber or other wood-based materials are sourced from recyclable or sustainable sources.
- Ensure all consumables such as cleaning materials and inks are eco-friendly.
- Encourage suppliers to document their sustainability policies and report their measures.
- Review existing and plan for new procurement spending within the principles of environmental sustainability.
- We will encourage all suppliers to adopt principles of environmental sustainability.
7.Climate and cleaner energy emissions.
a) Human activities over the past 200 years, such as the burning of fossil fuels and land clearing, have led to an increased concentration of greenhouse gases in the lower atmosphere – increasing the average global temperature and precipitating a climate crisis. The 1997 Kyoto Protocol has defined the most prominent greenhouse gases as carbon dioxide, methane and nitrous oxide, as well as sulphur hexafluoride, hydrofluorocarbons and perfluorocarbons. Taken together, these greenhouse gas emissions are a key contributor to rapid climate change.
b) The use of electricity and gas is a key contributor to greenhouse gas emissions; however, our organisation cannot function without energy. Therefore, energy is one of the clearest and most important ways to reduce our overall emissions and is a key part of our commitment to reducing our carbon footprint.
c) Implement an energy efficiency management system. Continuously seek to reduce greenhouses gas emissions from operations, products, and services.
d) To accomplish a reduction in emissions from energy use, undertake an energy audit, produce a plan to reduce our energy usage, produce a plan to switch to 100% renewable energy procurement, investigate how wind and solar energy can be used on our assets.
e) We will review and reduce our Scope 1 ,2,3 emissions. These are emissions which occur from sources directly controlled by our organisation, such as furnaces, boilers, and owned vehicles.
We will produce a plan to reduce and offset our Scope 1 emissions.
f) Company to establish a standardized global framework to measure and manage GHG emissions from private and public sector operations, value chains and mitigation actions. The GHG Scope 1, 2 & 3 The GHG Protocol distinguishes between three types of emissions:
- Scope 1: direct emissions from sites3
- Scope 2: indirect emissions related to purchased energy of operated sites
- Scope 3: other indirect emissions.
g) We will encourage all staff to undergo training on environmental sustainability and climate change. We will aim to raise awareness of environmental sustainability across our operations.
h) We encourage collaboration and involvement of all staff in our environmental sustainability efforts. Staff involvement is critical to ensuring the adoption of this policy and in our efforts to tackle climate change.
i) We will establish a sustainability steering group to drive involvement and stewardship of sustainability across the organisation.
j) Training and staff involvement In line with Climate responsiveness.
8. Waste management and disposal.
a) Swanair Travel and Safaris commits to keeping waste to an absolute minimum by preventing, reusing, recycling, or recovering waste wherever possible. We will ensure waste is sorted, stored and disposed of properly and in a sustainable manner in all our locations. b) We aspire to be a zero-waste organisation. We will achieve this by; –
- Phasing out the use of single-use plastics.
- Proper waste management and recycling
- Recycling 100% of recyclable material.
- Reducing the use of non-recyclable material and offsetting where this is not possible. Promoting and encourage recycling by all staff.
- Using recyclable, compostable and/or recycled products on our premises.
- Reducing the production of non-recyclable resources such as laminated or plastic based publicity material.
- Minimise the amount of printing and the amount of wastepaper.
- Using electronic communication as our primary method of communication and use an opt-in scheme for paper-based communication.
- Minimising pollution and preventing it wherever possible, including light, noise, solids, liquids and chemicals.
- Promoting the use of composting for organic waste.
b) We will review and reduce our Scope 2 emissions. These are indirect emissions from sources such as purchased electricity. We will produce a plan to reduce and offset our Scope 2 emissions.
c) We will review and reduce our Scope 3 emissions. These are emissions from our supply chain, travel and purchased goods. We will produce a plan to reduce and offset our Scope 3 emissions.
d) Taken together, these efforts to move towards 100% renewable energy use, and to review and reduce our emissions at Scope 1, 2 and 3, to help us reach net zero emissions by 2026.
9. Respect to Human Rights.
a) Integrating human rights due diligence processes across all business activities.
b) Ensure that working conditions and remuneration of workers preserve human dignity and are consistent with the principles defined by the Universal Declaration of Human Rights and by the fundamental Conventions of the International Labour Organization.
c) Company will prohibit employment of workers under the age of 18.
d) Prohibition and prevention of forced labour.
e) Ensure that no worker is coerced to work against his/her will using violence, intimidation, financial coercion or threat of penalty or sanction.
f) Prohibit confiscation of workers’ identity documents, provided that where local law requires such document to be retained, workers must have immediate and automatic access to such documents.
g) Ensure that no recruitment fees are charged to the worker.
h) Working conditions, remuneration and compensation
i) Establish an employment contract.
j) Provide a living wage and ensure compliance with a maximum number of working hours, adequate rest time and parental leave.
k) Prohibition and prevention of discrimination and harassment at the workplace
l) Prohibit harassment and practices resulting in discriminatory treatment of workers with particular attention to recruitment, compensation, benefits, or termination.
m) Freedom of speech, association and collective bargaining, freedom of thought, conscience, and religion
n) Ensure employees have the right to participate in a dialogue about their collective work situation.
o) Ensure workers can express grievances and concerns without fear of reprisal.
10. Appendices – Glossary of Terms.
Biodiversity: The variety of life in all its forms, levels, and combinations, including ecosystem diversity, species diversity, and genetic diversity.
Carbon Footprint: The total amount of greenhouse gases emitted directly or indirectly by an individual, organization, event, or product.
Circular Economy: An economic system aimed at eliminating waste and the continual use of resources through recycling, reusing, and reducing materials.
Climate Change: Long-term changes in temperature, precipitation, wind patterns, and other elements of the Earth’s climate system.
Greenhouse Gases (GHG): Gases that trap heat in the atmosphere, contributing to global warming. Examples include carbon dioxide, methane, and nitrous oxide.
Sustainability: Meeting the needs of the present without compromising the ability of future generations to meet their own needs.
Scope 1, 2, 3 Emissions: Direct and indirect greenhouse gas emissions categorized by the GHG Protocol.
Scope 1: Direct emissions from owned or controlled sources.
Scope 2: Indirect emissions from the generation of purchased energy.
Scope 3: All other indirect emissions occurring in the value chain. Zero Waste: A philosophy that encourages the redesign of resource life cycles to ensure all products are reused and no trash is sent to landfills or incinerators.
